How the Process Works
1. Initial Introduction
We start with a quick conversation, either by phone or email. You share an overview of your business, how you currently track finances, and what’s been working (and what hasn’t). This gives me a clear picture of your priorities and pain points.
2. Review of Existing Books
If you already have bookkeeping records in place, I take a look at how everything is currently set up. If cleanup or organization is needed, I’ll let you know what that would involve. The goal is always to bring your books to a clean, accurate starting point.
Some specifics that we would go through are your monthly transaction volume, number of statements needing reconciliation each month, payroll and payable needs, as well as any tax requirements (GST, payroll, etc.)
3. Formal Engagement
Once we’re aligned, we sign an engagement letter outlining the services you’ll receive, the monthly process, and fees. Once the engagement letter is sent over, you can read it over and ask for changes, if you think you need anything more, or if you just need clarification about any part of the contract.
4. System and Access Setup
I use Sage as the bookkeeping system. I take responsibility for making sure that your books are transferred over from your existing software, ensuring everything is ready for smooth monthly processing. If you don’t have an accounting system in place, I can set one up based on your companies needs.
This includes:
- CRA authorization where needed
- Bank statement sharing arrangements
- Payroll and GST filing setup (if you require them)
5. Your Monthly Responsibility (Which is Minimal)
Each month, you simply send me your invoices, receipts, and bank/credit card statements. That’s it.
From there, I take care of:
- Categorizing revenue and expenses
- Reconciling bank and credit card accounts
- Preparing your GST filing (when applicable)
- Running payroll (if included)
- Organizing supporting documents so everything is ready—and easily accessible—for any CRA review, audit, or external request.
For businesses looking for additional efficiency and internal controls, I also provide an Invoice Approval and Payment Workflow:
- Vendors invoices are forwarded to me.
- I ensure invoices match what recorded, flag discrepancies, and schedule payments (e.g., through software such as RBC Express).
- You provide final approval before anything is released.
This eliminates the need for you to manually process payments or manage payables week-to-week.
6. Monthly Reporting and Check-Ins
At the end of each month, I provide a financial summary report. This isn’t a formal set of formal financial statements (such as a Compilation Engagement or Notice to Reader; those are available as a separate engagement if you need them), but a clear and useful snapshot of your month end:
- Balance sheet
- Income Statement
- Other reports as needed
We can also schedule quick check-ins as needed to review what’s happening in your business and ensure you always feel informed and confident in your numbers.
